2. About this policy
This policy explains how we collect, use, store and share personal information in connection with the Legacis Intelligence™ platform, which publishes research, data and analysis on the global architecture profession for practice leaders, investors, advisors and institutional readers. We are committed to processing personal information transparently, lawfully and in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).
3. What information we collect
We process the following categories of personal information. Information about architectural practices and the individuals associated with them In the course of editorial and research activity, we hold information about architectural practices and, where relevant, the individuals publicly associated with them in a professional capacity. This may include: Practice name, trading name, and corporate identifiers Registered and operational addresses Names and professional roles of directors, partners, or principals where these appear in public registers or professional directories Year of establishment, ownership structure, headcount band, sector focus Public commentary, awards, project attributions, and press coverage Information you provide directly When you interact with the Legacis Intelligence™ platform, you may provide us with: Your name and email address (newsletter subscription, contact enquiries, correspondent applications, practice submissions) Your professional role and organisation Free-text content you submit (enquiries, applications, additional context) Account credentials where you become a Legacis member Information collected automatically When you visit our website, we automatically collect limited technical information through standard web analytics and server logs: IP address (typically truncated for analytics purposes) Browser type and device information Pages visited, referring page, and time spent Cookie identifiers (see Section 9)
4. Where we obtain information about architectural practices
In addition to information provided directly to us, we obtain information about architectural practices from publicly accessible and authoritative third-party sources, including: The UK Companies House register The RIBA Directory of Chartered Practices The Architects Registration Board public register Equivalent national professional registers and chambers in other jurisdictions Publicly accessible practice websites Professional press, industry publications, and award archives Licensed commercial data providers Where we hold personal information that did not come directly from the individual concerned, this is processed in accordance with our legitimate interests as an editorial intelligence platform (see Section 5), and the individual concerned is entitled to exercise the rights set out in Section 8.
5. Why we use information, and our legal basis
We use personal information for the following purposes, relying on the legal bases set out below. To research, analyse and publish editorial intelligence on the architecture profession Legal basis: Legitimate interests under Article 6(1)(f) UK GDPR. Our legitimate interest is the publication of independent research and analysis on a professional sector of public and commercial interest. We have considered the rights and interests of the individuals concerned and conduct our processing in a manner appropriate to public-facing professional information. Where our processing is for journalistic, academic, artistic or literary purposes, we may rely on the special purposes provisions of Schedule 2, Part 5 of the Data Protection Act 2018, to the extent applicable. To send the Practice Briefing and related editorial communications Legal basis: Consent under Article 6(1)(a) UK GDPR, given when you subscribe through the Practice Briefing signup. You may withdraw your consent at any time by clicking the unsubscribe link in any email we send. To process submissions, applications and enquiries Legal basis: Consent under Article 6(1)(a) (when you provide your details to us), and legitimate interests under Article 6(1)(f) (to operate and respond to those submissions). To operate paid memberships and contractual relationships (when launched) Legal basis: Performance of a contract under Article 6(1)(b), and legitimate interests under Article 6(1)(f) for administration and security. To operate, secure, and improve the website Legal basis: Legitimate interests under Article 6(1)(f). Our interest is the operation, security and continuous improvement of the website.
6. Who we share information with
We share personal information only with the following categories of recipient, and only to the extent necessary for the purposes set out above. Service providers acting on our behalf: Squarespace (website hosting, forms, member access infrastructure) Google Workspace (email, document and collaboration tools) Beehiiv (Practice Briefing newsletter distribution and subscription management) Stripe or equivalent (payment processing, when memberships launch) Standard professional advisers (accountants, lawyers) where lawfully required Each of these providers is bound by contractual data protection terms and processes personal information only on our documented instructions. Legal and regulatory recipients: We may share personal information where required to comply with a legal obligation, court order, or lawful request from a public authority, or where necessary to protect the rights, property or safety of Legacis Intelligence Ltd, our readers, or others. We do not sell personal information to third parties. We do not use personal information for behavioural advertising or share it with advertising networks.
7. International transfers
Some of our service providers are located outside the United Kingdom, including in the United States and the European Economic Area. Where personal information is transferred outside the UK, we rely on appropriate safeguards as required by UK GDPR, including the UK International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or transfers to jurisdictions which the UK government has determined provide an adequate level of protection. 8. How long we keep information
We retain personal information only for as long as necessary for the purposes for which it was collected, in line with the following indicative retention periods: Newsletter subscribers: for the duration of your subscription, plus 24 months after unsubscribing (for audit and complaint handling). Form submissions (practice submissions, correspondent applications, enquiries): 24 months from the date of submission, after which records are deleted unless retained for a longer period as part of an active editorial or contractual relationship. Member accounts (when launched): for the duration of the membership, plus six years after termination for tax and contractual record-keeping. Information about architectural practices held within the editorial platform: reviewed periodically and updated or removed as practices change, dissolve, or where an individual exercises a right to erasure or objection where applicable. Website analytics: retained for up to 26 months in aggregated form.
9. Cookies and similar technologies
Our website uses cookies and similar technologies for the following purposes: Strictly necessary cookies: required for the site to function (for example, member login sessions). These do not require consent. Analytics cookies: to understand how the site is used and improve content. These are only set with your consent, given through our cookie banner when you first visit the site. You may withdraw or change your cookie preferences at any time by clearing your browser's site data and revisiting the site, or by adjusting your browser settings to refuse cookies. Disabling certain cookies may affect site functionality.
10. Your rights

Right of access: to obtain a copy of the personal information we hold about you. Right to rectification: to have inaccurate or incomplete personal information corrected. Right to erasure: to request deletion of your personal information in certain circumstances. Right to restrict processing: to limit our use of your personal information in certain circumstances. Right to data portability: to receive certain personal information in a structured, commonly used and machine-readable format. Right to object: to object to processing based on legitimate interests, including processing for direct marketing purposes. The right to object to direct marketing is absolute. Right to withdraw consent: where consent is the basis for processing, you may withdraw it at any time. We will respond to verified requests within one month. Where a request is complex or where we have received multiple requests, we may extend this period by a further two months and will let you know if this applies. Right to complain to the Information Commissioner's Office (ICO) You have the right to lodge a complaint with the ICO if you believe we have not handled your personal information in accordance with the law. 11. Automated decision-making
We do not use personal information to make decisions about you based solely on automated processing that produces legal or similarly significant effects on you. We do not engage in profiling within the meaning of UK GDPR.
12. Children
The Legacis Intelligence™ platform is directed at professional readers and is not intended for use by children. We do not knowingly collect personal information from anyone under the age of 18.
13. Changes to this policy
We may update this policy from time to time to reflect changes in our processing activities or legal obligations. The "Last updated" date at the top of this policy shows when it was last revised. We encourage you to review this policy periodically. Material changes will be communicated through the website and, where appropriate, by direct notification to subscribers and members.
